Flex VTC – Terms & Conditions

These Terms & Conditions (“Terms”) are a legal agreement between you (“you”, “member”, “driver”, or “user”) and Flex Logistics / Flex VTC (“Flex VTC”, “we”, “our”, or “us”). By visiting or using https://flexvtc.com (the “Site”), joining our convoys or events, appearing on our rosters or leaderboards, or participating in our official channels (including Discord and in-game tags), you agree to be bound by these Terms. If you do not agree, do not use the Site or any of our Services.

“Services” means everything we provide as a virtual trucking company (VTC), including the Site, convoys, events, applications, driver management, statistics, and community spaces.

A. Who We Are

Flex VTC is a virtual trucking company that organizes convoys, tracks activity, and manages a community of players for simulation titles such as Euro Truck Simulator 2, American Truck Simulator, and other multiplayer trucking platforms.

Flex VTC is not officially affiliated with any game developer, multiplayer server, or platform provider. You are still required to follow their rules in addition to ours.

B. Minimum Age and Eligibility

  1. You must be at least 13 years old to create an account or use the Services.

  2. If you are under 18, you confirm that a parent or legal guardian allows you to use the Services, join voice/text channels, and appear in screenshots, streams, or leaderboards.

  3. By using the Services, you confirm that you are legally allowed to do so in your location.

We may refuse, suspend, or remove access if we believe you provided false information about your age or identity.

C. Accounts, Access, and Security

  1. Some features (for example: event signup, attendance tracking, internal dashboards, leaderboards, or applications) may require you to create an account or submit player information such as Steam / TruckersMP / Discord IDs or similar identifiers.

  2. You are responsible for:
    • Keeping your login credentials confidential.
    • All actions taken through your account or under your driver tag.
    • Making sure that nobody else uses your account to break rules.

  3. If you believe your account has been accessed without permission, you must inform us as soon as possible so we can review, limit, or remove access.

  4. We may suspend or close any account, without notice, if we believe it is compromised, abusive, fraudulent, or used in a way that harms the community or the Service.

D. Convoys, Events, and In-Game Activity

  1. Flex VTC may host convoys, photoshoots, meetups, or other in-game events. Participation in these activities is a privilege, not a right.

  2. When you drive in our events or under our tag, you agree to:
    • Drive respectfully and avoid reckless behavior.
    • Follow event instructions from staff / convoy control.
    • Avoid blocking roads, causing intentional collisions, or creating chaos for other players.
    • Avoid spamming voice/text chat or intentionally disrupting other drivers.

  3. Online convoy environments are unpredictable. Lag, desync, server moderation actions (including kicks or bans), game crashes, or other interruptions can occur and are not under our control.

  4. We may collect and record event data such as attendance, distance driven, in-game tag, compliance with rules, voice/chat behavior, etc. We may also capture screenshots, video, or statistics from events and display them on the Site, in recruitment material, or in community channels.

  5. By joining our events, you consent to being included in those records and publications.

E. Community Rules (Acceptable Use)

When you use the Site, attend our events, speak in our channels, or represent Flex VTC in-game, you agree that you will NOT:

  1. Harass, threaten, bully, or target any user.

  2. Use abusive, hateful, discriminatory, sexual, or otherwise offensive language, usernames, tags, or images.

  3. Impersonate staff, management, or other members.

  4. Spam, flood, or deliberately disrupt voice or text communications.

  5. Share or upload illegal content, or encourage illegal activity.

  6. Attempt to get other players or staff banned or attacked by lying, faking evidence, or sharing misleading reports.

  7. Deliberately block traffic, ram other players, brake-check on purpose, or create dangerous situations in convoys or public servers.

  8. Use bots, exploits, scripts, mass fake applications, or any automated method to interact with our systems unless we have given you written approval.

  9. Use our branding, roles, or internal resources to promote outside services, recruit for other groups, or advertise without written approval.

If you violate these rules, we may mute you, delete your content, suspend your account, remove you from events, remove your VTC tag/role, or permanently ban you.

F. Your Content

“Your Content” means anything you submit or generate in connection with Flex VTC. Examples include: screenshots, clips, chat messages, in-game tags that include our name, application forms, attendance logs, stats, and any other material you provide.

By submitting or generating Your Content, you:

  1. Grant Flex VTC a worldwide, non-exclusive, royalty-free license to store, host, display, edit for formatting/graphics, and publish Your Content for purposes such as event recaps, recruitment showcases, leaderboards, moderation review, training our staff, and displaying community activity.

  2. Confirm that you have the right to share Your Content and that it does not break any law or violate someone else’s rights.

  3. Confirm that Your Content is not knowingly fake, misleading, or designed to damage another person’s reputation.

We may but are not required to review, hide, edit, or remove any Content for any reason.

G. Our Content and Branding

All Flex VTC names, logos, designs, graphics, layouts, event formats, guides, screenshots we create, written copy on the Site, and other original materials are owned by us or licensed to us.

You may view them and share public links for personal, non-commercial use. You may not copy, resell, re-upload as your own, or build competing services or tools using our materials without written permission.

You are not allowed to reverse engineer, scrape, mass harvest, or clone any internal system, dashboard, or feature.

H. Third-Party Platforms

  1. Our Services depend in part on platforms we do not control (for example: multiplayer servers, Discord, Steam, TruckersMP, etc.).

  2. Those platforms have their own rules, moderation, bans, and enforcement systems. They can mute, kick, suspend, or permanently ban you. Their actions can affect your ability to participate in Flex VTC.

  3. If you lose access to required third-party platforms, we are not responsible and we are not obligated to keep your membership active.

  4. We may also act on serious behavior that happens outside our Site (for example, credible threats, severe harassment, hate content) if we believe it creates risk to our members or our reputation.

I. Privacy and Data Use

  1. We collect and store basic information you provide (for example: contact handles, game IDs, Discord username, convoy attendance, performance stats, screenshots, moderation notes) so we can operate the VTC, coordinate events, and keep the community safe.

  2. Some information may be shown publicly, such as:
    • Your driver name / tag
    • Your appearance in screenshots or convoy recaps
    • Your rank or position on internal or public leaderboards

  3. We also keep internal records (for example: rule violations, convoy behavior reports, moderation history). This helps us decide things like promotions, roles, restrictions, or bans.

  4. We may publish a separate Privacy Policy that explains how data is collected, stored, used, and shared. If there is any difference between that Privacy Policy and these Terms with respect to privacy, the Privacy Policy will control.

J. Service Availability and Changes

  1. The Site, dashboards, leaderboards, events, and any related features are provided on an “as available” basis. We do not guarantee perfect uptime, perfect tracking, lag-free gameplay, or permanent storage of stats, chat logs, or recordings.

  2. We may update, pause, or permanently remove any part of the Services at any time. That includes (but is not limited to) events, routes, internal tools, public stats pages, application forms, ranks, Discord channels, and any visual branding.

  3. We may change membership requirements, activity requirements, or application rules (for example, minimum age, minimum activity, DLC requirements, or livery/tag rules) at any time.

K. Disclaimer of Warranties

To the maximum extent allowed by law, the Site and all Services are provided “AS IS” and “AS AVAILABLE,” with all faults and without any guarantees.

Without limiting the above:

  1. We do not promise that the Site, dashboards, stats, or communication channels will be error-free, secure, or available at all times.

  2. We do not promise that convoys, multiplayer sessions, or events will be smooth, lag-free, interruption-free, or safe from trolls or griefing.

  3. We do not promise that any leaderboard, rank, attendance log, screenshot, or stat is perfectly accurate, up to date, or permanent.

  4. We disclaim all implied warranties, including any implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement, to the fullest extent permitted by law.

L. Limitation of Liability

  1. To the fullest extent permitted by law, Flex VTC and its owners, managers, staff, convoy control, moderators, partners, and affiliates will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages. This includes (without limitation) lost time, lost progress, lost data, loss of access to multiplayer platforms, suspension or bans from third-party services, damaged reputation, arguments between members, or any in-game damage.

  2. In any case, our total liability to you for all claims combined will not exceed the equivalent of 100 USD.

  3. If your local law does not allow some of these limits, then our liability will be limited to the maximum amount your local law allows.

M. Suspension, Removal, and Enforcement

We may, at our sole discretion and without prior notice:

  1. Suspend or permanently remove your account or membership.

  2. Revoke your right to use Flex VTC tags, branding, or roles.

  3. Block you from convoys, events, Discord channels, and internal tools.

  4. Hide, edit, or delete Your Content.

We may take these actions if we believe you violated these Terms, harmed other members, created risk, or damaged Flex VTC’s reputation.

You may request to leave or close your account at any time by contacting us.

N. Changes to These Terms

We may revise these Terms from time to time. When we do, we will update the “Last Updated” date at the top of this page.

After changes are published, your continued use of the Site or participation in Flex VTC means you accept the updated Terms.

O. Governing Law and Disputes

These Terms are governed by the laws of the Arab Republic of Egypt.

Any dispute, claim, or controversy relating to these Terms, the Site, or the Services will be handled exclusively in the courts located in Cairo, Egypt. You agree to the personal jurisdiction of those courts.
